BOOKING TERMS & CONDITIONS

FSC MCR LTD

Version 1.0 | October 2026

FSC MCR LTD EVENT TERMS & CONDITIONS

EVENT TERMS & CONDITIONS

These Event Terms & Conditions apply to all events, private hires, corporate bookings, celebrations, functions, meetings, parties, catered events and other event bookings made with FSC MCR LTD.

For the purposes of these Terms & Conditions, “FSC”, “the Venue”, “we”, “us” and “our” refer to FSC MCR LTD. “Client”, “you” and “your” refer to the individual, company or organisation making the booking.

Where the Client is an individual acting wholly or mainly outside their trade, business, craft or profession, they will be treated as a consumer for the purposes of applicable consumer law.

These Terms & Conditions should be read alongside your event proposal, booking confirmation, invoice and any specific written arrangements agreed between you and FSC MCR LTD.

Where a specific written term agreed for your event differs from these general Terms & Conditions, the specific written term will take priority for that booking.

1. BOOKING CONFIRMATION AND ACCEPTANCE

These Terms & Conditions apply to all bookings made with FSC MCR LTD.

By confirming in writing that you wish to proceed with a booking, accepting an event proposal or booking confirmation, or making any deposit, minimum spend payment, advance payment or other payment requested in connection with the booking after being provided with or directed to these Terms & Conditions, you confirm that you have read, understood and accepted them.

A booking will not be treated as confirmed until FSC MCR LTD has received the required confirmation and any deposit, advance payment or other payment specified for that booking.

The Client must provide their full name and residential address, or where applicable their registered or principal business address, together with all information reasonably requested by FSC MCR LTD in connection with the event.

Any payment or deposit must be made by bank transfer using the details provided on the relevant invoice unless FSC MCR LTD agrees another payment method in writing.

Unless a different payment deadline is expressly stated on the invoice, all invoices must be paid within 7 days of issue.

The version of these Terms & Conditions applicable to your booking will be the version provided or made available to you at the time your booking is confirmed.

2. DEPOSITS, ADVANCE PAYMENTS AND MINIMUM SPENDS

Where a deposit or booking payment is required to secure an event date, that payment forms part of the commercial arrangements for the booking.

Subject to applicable consumer law, booking deposits are non refundable where the Client subsequently cancels the event.

A payment made towards an agreed minimum spend will be treated as a Minimum Spend Payment rather than an additional venue hire charge unless otherwise stated in writing.

Any Minimum Spend Payment will be credited against eligible food and drink spend included within the agreed minimum spend.

Where the actual eligible spend meets or exceeds the agreed minimum spend, there will be no minimum spend shortfall.

Where the actual eligible spend is below the agreed minimum spend, the Client will remain responsible for the difference between the actual spend and the agreed minimum spend. Where the minimum spend has already been paid in advance, any unused amount may be retained against that agreed minimum spend.

Any spend above the agreed minimum spend will be charged in addition.

Nothing within this section affects any statutory rights that cannot legally be excluded.

3. CANCELLATIONS BY THE CLIENT

All cancellations must be made in writing.

Any booking deposit paid to secure or finalise an event is non refundable, subject to applicable consumer law and except where a payment is specifically treated as a Minimum Spend Payment under these Terms & Conditions.

Where the Client cancels an event less than 14 days before the scheduled event date, FSC MCR LTD reserves the right to charge a cancellation fee of £250 or the outstanding venue hire fee in full, whichever is greater.

Any cancellation charge will be invoiced and must be paid within 7 days of receipt.

Any payments already made will be taken into account when calculating sums outstanding so that the Client is not charged twice for the same loss or liability.

Where the Client is a consumer, any amount retained or charged following cancellation will be subject to applicable consumer law. FSC MCR LTD will not seek to recover more than it is legally entitled to recover and, where required by law, will take account of costs saved or losses reasonably avoided as a result of the cancellation.

Where catering, entertainment, equipment, additional staffing, security, production or other goods or services have already been ordered or committed specifically for the event, the Client may also be responsible for those costs where they cannot reasonably be cancelled or recovered.

FSC MCR LTD may, at its discretion, allow a booking to move to an alternative date. Any transfer is subject to availability, revised pricing where applicable and written confirmation from FSC MCR LTD. There is no automatic right to transfer an event.

Any statutory cancellation rights available to a consumer remain unaffected.

4. CHANGES TO THE EVENT AND GUEST NUMBERS

The Client must notify FSC MCR LTD as soon as reasonably possible of any proposed change to the event, including changes to the date, timings, guest numbers, event format, food, drink, entertainment, room layout, access requirements or suppliers.

Expected guest numbers must be kept reasonably up to date throughout the planning process.

Any reduction in confirmed guest numbers made within 30 days of the event date will be entirely at the discretion of FSC MCR LTD and may not result in any reduction to agreed venue hire, minimum spend, catering, package or other committed charges.

This is particularly applicable where staffing, catering, equipment, entertainment, security or other services have already been arranged based upon the previously confirmed numbers.

Any increase in guest numbers is subject to venue capacity, licensing conditions, availability, staffing and FSC MCR LTD approval.

Significant changes to an event may require revised pricing or revised commercial terms.

5. EVENT TIMINGS

The standard Venue curfew is midnight unless otherwise agreed in writing.

All guests must have vacated the premises by midnight or the alternative agreed finishing time.

The Client is responsible for ensuring that their event, entertainment, suppliers and guests comply with the agreed timings.

Any extension to agreed timings must be approved by FSC MCR LTD in advance and may be subject to additional charges and licensing restrictions.

6. ACCESS AND EVENT SETUP

Unless otherwise agreed in writing, access to the hired space for event setup, decoration, supplier access or venue dressing begins at the agreed booking start time.

Earlier access must be agreed with FSC MCR LTD in advance.

All equipment, decorations, event infrastructure and other items brought into the Venue must be removed by the agreed departure or collection time.

Items may only be stored overnight with prior written permission from FSC MCR LTD.

Where items are left at the Venue without permission, or remain beyond an agreed collection period, FSC MCR LTD reserves the right to charge a storage fee of £50 per day.

FSC MCR LTD may dispose of items which remain uncollected after a reasonable period, particularly where continued storage is impractical, unsafe or creates an operational issue.

7. ALCOHOL AND LICENSING

FSC MCR LTD is a licensed premises and operates in accordance with the conditions of its premises licence and applicable licensing law.

Unless expressly approved in writing by FSC MCR LTD, all alcoholic drinks consumed on the premises must be purchased from the Venue.

Clients, guests and suppliers must not bring alcohol or other drinks onto the premises without prior written approval.

Unauthorised alcohol may be confiscated and individuals responsible may be required to leave the Venue.

FSC MCR LTD reserves the right to refuse the sale or service of alcohol and to require any person to leave the premises where reasonably necessary for licensing, safety or operational reasons.

This includes, but is not limited to, suspected underage drinking, purchasing alcohol for underage persons, intoxication, possession or suspected possession of illegal substances, threatening or antisocial behaviour, attempting to remove open containers where prohibited, or any other breach of the Venue's licensing obligations.

The decision of the Venue's responsible management team in relation to alcohol service and licensing matters will be final.

8. UNDER 18S

Unless otherwise agreed for a particular event, persons under the age of 18 arriving before 8pm may attend when accompanied by a responsible adult.

Children and young people must remain appropriately supervised at all times.

The Client and accompanying adults remain responsible for the supervision and behaviour of children attending the event.

Children must not be permitted to run through service areas, climb on furniture or equipment, enter restricted areas or behave in a way that creates a safety risk to themselves or others.

FSC MCR LTD reserves the right to intervene or require a child and their accompanying adult to leave where behaviour creates a safety issue or significant disturbance.

Nothing within this clause limits any responsibility which FSC MCR LTD cannot lawfully exclude.

9. CASHLESS VENUE

FSC MCR LTD operates as a cashless venue.

Drinks and other purchases must be made using accepted electronic or card payment methods.

Clients should make their guests aware of this prior to the event.

10. SERVICES PROVIDED AS PART OF THE BOOKING

Unless otherwise stated in your event proposal or booking confirmation, FSC MCR LTD will provide appropriate bar staff and an event manager or designated venue manager to support the effective operation of the Venue during the event.

Standard venue hire does not automatically include event decoration, specialist production, additional security, furniture hire, extensive room reconfiguration, entertainment, technical staff, external equipment or additional event personnel.

Any additional services must be agreed in advance and may result in additional charges.

11. SECURITY

FSC MCR LTD reserves the right to determine whether additional security or stewarding is reasonably required for an event, having regard to guest numbers, event format, timings, entertainment, licensing requirements, risk assessments and other relevant circumstances.

Where additional security is required specifically because of the nature or requirements of the Client's event, the associated cost may be charged to the Client where this has been communicated and agreed as part of the event arrangements.

12. CLEANING, DAMAGE AND WASTE

Standard cleaning following normal use of the Venue is included unless otherwise agreed.

Where an event results in excessive or specialist cleaning being required, FSC MCR LTD reserves the right to charge the Client the reasonable additional cost of that cleaning.

The Client is responsible for damage caused by the Client, their guests, contractors, performers or suppliers, except to the extent that the damage was caused by FSC MCR LTD or circumstances for which FSC MCR LTD is legally responsible.

Reasonable repair or replacement costs may be invoiced following the event.

The Client is responsible for arranging the removal of additional waste generated specifically by their event, including excessive packaging, decorations, flowers, production materials or supplier waste, unless alternative arrangements have been agreed with FSC MCR LTD.

Glitter and confetti are not permitted anywhere within the Venue.

13. DECORATIONS AND VENUE DRESSING

Freestanding decorations and appropriate table dressings are welcome subject to these Terms & Conditions and any specific instructions provided by the Venue.

Nothing may be fixed to walls, ceilings, doors, fixtures, lighting, technical equipment or other Venue infrastructure without prior written approval.

Glitter and confetti are prohibited.

Helium balloons are not permitted due to Venue safety requirements unless FSC MCR LTD expressly agrees otherwise in writing.

All decorations must comply with relevant fire and safety requirements.

Any decorations remaining beyond the agreed collection time may be removed and disposed of, with reasonable disposal or storage charges passed to the Client where applicable.

14. THIRD PARTY SUPPLIERS

All third party suppliers, performers, contractors and service providers attending the Venue in connection with an event must be approved by FSC MCR LTD in advance.

Approval for a supplier to enter or operate within the Venue does not mean that FSC MCR LTD accepts responsibility for that supplier's performance, service, conduct, products or contractual relationship with the Client.

Where reasonably required, suppliers may be asked to provide relevant documentation including public liability insurance, risk assessments, method statements, technical information, electrical or PAT certification and any licences, registrations or safety information applicable to their activity.

Suppliers must comply with Venue instructions, licensing conditions, health and safety requirements, access restrictions and agreed event timings.

FSC MCR LTD reserves the right to refuse entry to, suspend the activity of, or remove any supplier where the Venue reasonably believes that the supplier is operating unsafely, does not have appropriate documentation, is acting contrary to Venue instructions or creates a licensing or operational risk.

Any contract between the Client and a third party supplier remains between those parties. FSC MCR LTD will not ordinarily become involved in disputes relating to payment, performance or quality of service between the Client and their independently appointed supplier.

Where FSC MCR LTD directly appoints a supplier as part of a service purchased from FSC MCR LTD, responsibility will instead be determined by the terms of that service and applicable law.

15. CAR PARKING, DELIVERIES AND LOADING

Any parking, delivery, loading, unloading or supplier access requirements must be discussed with FSC MCR LTD in advance.

Access cannot be guaranteed unless specifically confirmed.

Suppliers and Clients must comply with any designated loading periods, access routes and Venue instructions.

16. ACCESSIBILITY

FSC MCR LTD aims to make its Venue and events reasonably accessible.

The Client should notify FSC MCR LTD as early as possible of any known accessibility requirements relating to the Client, guests, performers or suppliers.

This allows the Venue to discuss available facilities, identify potential restrictions and consider any reasonable adjustments which may be appropriate.

Where the Client is uncertain whether a particular part of the Venue will meet a guest's requirements, this should be discussed with the event team before the booking is confirmed or as soon as the requirement becomes known.

17. CAKES AND DESSERTS

Celebration cakes or externally supplied desserts may only be brought into the Venue with prior approval from FSC MCR LTD.

Limited refrigeration may be available, but storage is subject to available space and the dimensions and requirements of the item.

FSC MCR LTD reserves the right to refuse storage where appropriate facilities are not available.

The Client is responsible for ensuring that externally supplied cakes or desserts have been produced, transported and supplied safely and for obtaining accurate allergen information from the person or business supplying them.

18. AUDIO VISUAL EQUIPMENT AND TECHNICAL REQUIREMENTS

Technical specifications for available Venue audio and visual equipment can be provided where required.

The Client is responsible for confirming before the event whether the Venue's available equipment meets their requirements.

Any external production equipment must be approved before installation and may be subject to technical and safety checks.

The use of Venue equipment must comply with instructions provided by FSC MCR LTD and any relevant technical staff.

19. VENUE SETUP, FURNITURE AND EQUIPMENT

Unless otherwise agreed, the Venue is hired with the furniture, infrastructure and equipment normally present within the booked space.

Any requirement to move, remove or substantially reconfigure furniture, equipment or infrastructure must be agreed with FSC MCR LTD in advance.

The Client, guests and suppliers must not move specialist, technical or heavy equipment without permission.

The Client will be responsible for damage caused by the Client, guests or suppliers where they have acted negligently, deliberately or contrary to reasonable Venue instructions.

FSC MCR LTD will not be responsible for loss of or damage to equipment or property brought onto the premises by the Client, guests or third party suppliers except to the extent that the loss or damage results from negligence or another legal responsibility of FSC MCR LTD.

Nothing in these Terms & Conditions excludes or restricts liability for death or personal injury resulting from negligence or any other liability which cannot lawfully be excluded or restricted.

20. CLIENT AND GUEST CONDUCT

The Client is responsible for taking reasonable steps to ensure that guests, contractors and suppliers comply with these Terms & Conditions and reasonable instructions given by Venue management.

FSC MCR LTD reserves the right to refuse entry to or remove any person whose behaviour is abusive, threatening, unsafe, seriously disruptive, unlawful or contrary to licensing requirements.

The Venue may stop an activity or, in serious circumstances, terminate an event where continuing the event would create an unacceptable risk to guests, staff, property or the Venue's licence.

Where action is required because of the conduct of the Client, their guests or their suppliers, the Client will not automatically be entitled to a refund.

Any consumer rights which cannot legally be excluded remain unaffected.

21. CATERING ARRANGEMENTS

Unless otherwise agreed in writing, catering for the event will be provided by FSC MCR LTD, an onsite food operator or another caterer approved by FSC MCR LTD.

The Client must not appoint or bring an external caterer onto the premises without prior written approval.

Food formats, menus, service arrangements, service times and guest numbers must be agreed as part of the event planning process.

22. CATERING NUMBERS AND PAYMENT

Final catering numbers must be confirmed no later than 14 days before the event, unless an alternative deadline has been agreed in writing.

Where payment for catering has not already been made, the confirmed catering amount will be invoiced in accordance with the payment terms agreed for the event.

Any reduction in guest numbers made within 30 days of the event is subject to FSC MCR LTD approval and may not result in a reduction to previously agreed catering or package charges.

Once final catering numbers have been confirmed, FSC MCR LTD may be unable to reduce quantities, charges or commitments already made to caterers, traders or suppliers.

Any increase in numbers remains subject to availability and FSC MCR LTD approval.

23. DIETARY REQUIREMENTS AND ALLERGENS

The Client must provide FSC MCR LTD with all known dietary requirements and food allergies relating to guests receiving pre ordered catering as early as possible and, wherever reasonably possible, no later than 14 days before the event.

The Client is responsible for gathering and communicating this information accurately.

Late notification may restrict the options that FSC MCR LTD or its food operators are able to provide.

Guests with food allergies or intolerances should also make themselves known to the relevant food service team before ordering or consuming food and should request current allergen information for the food they intend to consume.

Allergen information will be made available in accordance with applicable food law.

FSC MCR LTD works with kitchens, caterers and independent food traders where allergens may be handled. While reasonable procedures are followed to manage allergens, the Client should not assume that any food preparation environment is completely free from a particular allergen unless this has been expressly confirmed by the responsible food operator.

Where an independent food trader or approved external caterer is responsible for producing or serving food, allergen information relating to that food will be provided by the relevant food business operator.

24. CATERING CANCELLATIONS

Any payment made specifically to secure catering is subject to the cancellation arrangements communicated for the event and applicable consumer law.

Where an event is cancelled within 14 days of the scheduled event date, the Client may be responsible for the full confirmed catering amount together with the cost of food, ingredients or other goods and services specifically purchased or committed for the event and which cannot reasonably be cancelled, reused or recovered.

Payments already made will be credited against any amount properly due.

Catering services which have already been provided or consumed are non refundable except where the Client has a legal right to a refund or other remedy.

Any issue with food or catering on the event day should be raised with the Event Manager as soon as reasonably possible so that the Venue has an opportunity to investigate and, where possible, resolve the matter during the event.

25. POST EVENT COSTS

Additional costs properly incurred in connection with the event may be invoiced following the event.

These may include additional food or drink tabs, approved additional services, damage, excessive cleaning, storage, additional staffing, extended hours or other agreed or properly chargeable event costs.

Unless otherwise stated, post event invoices are payable within 7 days of receipt.

For qualifying business to business transactions, FSC MCR LTD reserves the right to exercise any statutory rights available in relation to late commercial payments, including statutory interest and recovery costs where applicable.

For consumer bookings, any interest, recovery costs or other charges will only be applied where permitted by law.

26. UNFORESEEN CIRCUMSTANCES AND EVENTS OUTSIDE OUR CONTROL

FSC MCR LTD will not be responsible for a failure or delay in performing its obligations where that failure or delay results from circumstances beyond its reasonable control.

This may include severe weather, flooding, fire, major utility failure, structural emergencies, public health emergencies, terrorism, criminal activity, civil disorder, government restrictions, changes in law, significant transport disruption or other serious circumstances which make the event impossible, unlawful or unsafe to deliver as agreed.

Where reasonably possible, FSC MCR LTD will discuss available alternatives with the Client. These may include rescheduling the event, changing the affected space or adjusting the event arrangements.

Where FSC MCR LTD is unable to provide the contracted event or service because of circumstances outside its reasonable control, the parties will work to determine an appropriate solution having regard to the services affected, costs already properly incurred and the Client's statutory rights.

Nothing in this clause removes any right to a refund or other remedy which the Client is entitled to under applicable law.

27. CANCELLATION BY FSC MCR LTD

FSC MCR LTD may cancel or terminate a booking where it is reasonably necessary to do so because the event cannot safely or lawfully proceed, the Client has materially breached these Terms & Conditions, required payments have not been made, essential information has been withheld, or the proposed event creates a material licensing, safety or operational risk which cannot reasonably be resolved.

Where cancellation results from a material breach by the Client, any refund will be considered having regard to the circumstances, costs incurred, losses suffered and applicable law.

Where FSC MCR LTD cancels for reasons which are within its reasonable control and which are not caused by the Client, FSC MCR LTD will refund payments made for services that it is unable to provide, subject to any additional rights the Client may have under applicable law.

28. PERSONAL BELONGINGS AND LOST PROPERTY

Clients and guests are responsible for their own property while attending the Venue.

FSC MCR LTD will not be responsible for loss, theft or damage to personal belongings except where this results from negligence or another legal responsibility of FSC MCR LTD.

Any lost property recovered after an event will be handled in accordance with the Venue's current lost property procedure.

Items not collected within a reasonable period may be disposed of or donated where appropriate.

29. PERSONAL INFORMATION

FSC MCR LTD may collect and use personal information where reasonably necessary to administer and deliver the booking, communicate with the Client, process payments, manage event requirements and meet legal or regulatory obligations.

Personal information will be handled in accordance with applicable data protection law and FSC MCR LTD's privacy policy.

Further information regarding the privacy policy can be requested from FSC MCR LTD.

30. COMPLAINTS AND EVENT DAY ISSUES

If an issue arises during an event, the Client should raise it with the Event Manager or Venue Manager as soon as reasonably possible.

This gives FSC MCR LTD an opportunity to investigate and, where possible, resolve the issue while the event is taking place.

Any complaint which cannot be resolved on the day should be submitted to FSC MCR LTD in writing as soon as reasonably practical following the event.

Raising an issue promptly does not affect any statutory rights available to the Client.

31. LIABILITY

Nothing in these Terms & Conditions excludes or limits FSC MCR LTD's liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability which cannot legally be excluded or limited.

Subject to this, FSC MCR LTD will not be responsible for loss or damage caused by the Client, their guests, contractors or independently appointed suppliers.

Where the Client is acting in the course of business, FSC MCR LTD will not be liable for indirect or consequential losses, loss of profit, loss of anticipated savings, loss of business or loss of opportunity except where such liability cannot lawfully be excluded.

Where the Client is a consumer, nothing within these Terms & Conditions affects the Client's statutory rights or seeks to exclude liability where it would be unlawful to do so.

32. WRITTEN CHANGES AND EVENT SPECIFIC AGREEMENTS

Any material variation to the agreed booking should be confirmed in writing.

Where FSC MCR LTD and the Client expressly agree a different arrangement in writing for a particular event, that specific agreement will take priority over the corresponding provision within these general Terms & Conditions.

A failure by FSC MCR LTD to enforce a particular provision on one occasion does not prevent that provision from being enforced on another occasion.

33. SEVERABILITY

If any provision or part of a provision within these Terms & Conditions is found to be unlawful, invalid or unenforceable, that provision will be treated as removed or adjusted only to the extent necessary.

The remaining provisions will continue to apply.

34. GOVERNING LAW

These Terms & Conditions and any dispute or claim arising from them will be governed by the laws of England and Wales.

Where the Client is acting as a business, the courts of England and Wales will have jurisdiction in relation to any dispute arising from the booking.

Where the Client is a consumer, this clause does not remove any mandatory right the Client may have to bring proceedings in another court available to them under applicable law.

35. STATUTORY RIGHTS

Nothing within these Terms & Conditions is intended to exclude, restrict or reduce any statutory rights which cannot lawfully be excluded, restricted or reduced.
